Business Systems CRM, ERP and Operations Platforms

Most growing businesses do not set out to run on eight different tools. It happens one department at a time, until customer records sit in one place, orders in another, and nobody can follow a job from enquiry to invoice. We build the system that brings those departments back together, shaped around your process and owned by you.

Does this sound familiar?

When Disconnected Systems Start to Cost You

  • Customer information lives in several systems, and the versions no longer agree with one another.
  • Nobody can follow a single job from first enquiry through to delivery and invoice without asking three colleagues.
  • The same details are typed into two or three places, because the tools do not speak to each other.
  • Each department has quietly adopted its own software, and the licence costs now rise with every new colleague.
  • A monthly report means somebody spending a day assembling spreadsheets by hand.
  • Renewals, approvals and handovers depend on an individual remembering, rather than on the system prompting.
Departments working across disconnected systems

A business system is not always the right answer. Where a ready-made product would fit your process with only minor compromise, we will gladly say so, as it is usually the wiser investment.

Where the requirement is a single application rather than a system spanning departments, our web application development page is the better starting point. For the marketing side of your pipeline, see CRM & automation under Grow.

What we build

Business Systems We Develop

Each system begins with how the work really happens across your departments, rather than with a list of modules.

CRM & sales systems

Customers, leads, pipelines, quotations and follow-ups in one record, shaped to how your team really sells.

Operations platforms

Orders, delivery, tasks, resources and status together, so a job can be followed end to end by anyone who needs to.

ERP & systems integration

Your accounting, inventory, payment and logistics systems connected, so information is entered once and read everywhere.

Customer & partner portals

Where your clients, vendors or franchisees see their own data, documents and progress without emailing your team.

Process automation

Renewals, approvals, reminders and handovers that the system prompts, rather than depending on somebody remembering.

Reporting & visibility

Figures drawn from the system itself, with role-based dashboards for the board, the managers and the team.

How it runs

Our Business Systems Development Process

A system that spans departments cannot be delivered in one piece. We would rather have one department working properly within weeks than present a complete platform nobody has used.

01

Map the departments

We sit with each team and follow a single job from beginning to end. Every workaround somebody has invented is a requirement in disguise.

02

Agree the first module

We start where the cost is clearest and the process is best understood, and set the rest aside openly for later stages.

03

Build in the open

Two-week stages on a private link, with the colleagues who will use it trying each module as it takes shape.

04

Migrate and hand over

Records migrated, permissions set by role, your team trained, and the older tools retired carefully rather than left running alongside.

What you get

Business System Deliverables

  • One system that each department shares, using your own vocabulary rather than generic software terms.
  • Role-based access, so that each colleague sees what is appropriate to their work and nothing further.
  • Connections to the systems you already run, so that nothing needs entering twice.
  • Your existing records migrated, checked and reconciled before the older tools are retired.
  • The source code, the database and the documentation, yours at delivery, with no per-user licences.
  • A maintenance plan shaped to the system, so that it is looked after by the team that built it.

Well suited to you if

  • Several departments each run their own tools
  • Someone internally owns the process and can give it time
  • There is an operational cost you can point at
  • You are willing to improve a process before automating it

Perhaps not, if

  • An existing product would fit with only minor compromise
  • The process differs with every colleague who performs it
  • The requirement is still an idea rather than a problem
In practice

Fifteen modules, one platform, one view of the business.

A growing services business in the United Kingdom ran customers, leads, sales, orders, delivery, technical tasks, content, renewals and staff across separate tools. Effort was duplicated, reporting was difficult, and nobody could see a job end to end.

What changed: One platform now carries fifteen operational modules with role-based access throughout. It manages over five thousand business records, and manual tracking has fallen by around ninety per cent. Seven months from design to launch, built in stages so that each department adopted its own part as it was ready.

Matching buyers to suppliers by hand does not scale. Twelve marketplace modules and three dedicated dashboards now support more than a thousand project requests.

Questions

Questions We Are Often Asked

From ready-made software and timelines to integration, permissions and ownership, here are the questions we hear most often about business systems.

How is this different from buying a CRM off the shelf?

A ready-made CRM is built for the average of thousands of businesses. It will suit most of your process and quietly resist the rest, which is usually where the manual workarounds begin. A custom business system is shaped around the way your own departments actually work, in your own vocabulary. Where a ready-made product would serve you well, we will say so, as it is usually the wiser investment.

How long does a business system take to build?

It depends on how many functions it has to carry. A single department platform is often delivered in around eight to twelve weeks. A full operations platform spanning customers, sales, delivery and reporting takes longer. One platform we built across fifteen operational modules ran to seven months from design to launch. In every case we aim to put one useful part into your hands early, rather than disappear for months.

Can it connect to the systems we already use?

Usually, yes. Accounting systems, payment gateways, CRMs, logistics platforms and email services can generally be connected where suitable APIs exist. Integration is often the point of the exercise, since it is what stops the same information being entered twice. Where a system cannot technically be connected, we will tell you before promising it.

Can different departments see different things?

Yes, and in our experience this matters a great deal. Role-based access is designed in from the start, so that each colleague sees what is appropriate to their work and nothing more. It is one of the first questions we ask during mapping, because it shapes how the whole system is structured.

Who owns the system once it is delivered?

You do. At delivery the source code, the database, the documentation and the hosting can all be placed in your name. There are no per-user licences that rise as your team grows, and no vendor deciding when your next requirement is important enough to build. A system of this kind is supported under a maintenance plan rather than a free introductory period, because it needs planned, ongoing care. We will set out the options for you before delivery.
